HomeMy WebLinkAbout1994 02-22 CTFMSummary Notes Communications Task Force Tuesday, Feb. 22, 1994 Call to order 7:00 p.m. Present Dawn Sommers Alex Alexander Julie Doth Linda Smith Terri Swanson, staff liaison Thanks to members Sommers and Nelson for their help with joint meeting The task force thanked members Dawn Sommers and Gerry Nelson for their help in presenting the committee's information at the joint meeting. It was noted that the meeting went very well. • Member update Swanson stated that she received a call from member Nelson explaining that due to his additional work responsibilities, he would no longer have enough time to commit to the committee anymore. Thus, he officially resigned from the task force. Swanson then asked how we should handle members who do not attend meetings. She stated that in the resolution it states that any member who is not present and/or excused for three consecutive meetings is automatically terminated from the committee. She stated that this is the case with member Susan Warner. Member Alexander suggested that Swanson write a letter to Warner asking of her interest in the committee and seeking a response. Swanson agreed to try this approach. Swanson then stated that the member recruitment information that is placed in the media is in the form of a press release not an ad. As a result, the City doesn't pay for the information to be publicized therefore it has little control over what the papers actually print. She did note that she spiced up the recruitment release to try to gain any additional interest in the committee. Brochure distribution Next, the committee discussed the distribution of the new City promotional brochure. Member Doth suggested that the brochure be promoted and distributed at Realtor Day. Member Smith noted that Realtor Day will be held on May 11. Member Sommers suggested page 2 that we tease the real estate community by sending a few brochures to each real estate office a week ahead of the meeting so that the realtors are excited and ready to purchase the brochures at the meeting. Swanson stated that she hopes to take orders at the meeting. The committee then decided on pricing for the brochures. It was decided that individual brochures and complete folder packets be sold in quantities of 25, 50 and 100 only. Any for-profit individuals or organizations purchasing a quantity of 25 will pay full cost, quantities of 50 and 100 will receive discounts of 25% and 50% respectively. Non-profit organizations like the tourism bureau and the chamber of commerce will receive complimentary brochures. Swanson state that she would inform and seek approval from the city manager regarding the committee's suggestions. Member Sommers suggested that the City keep an ample number of brochures on hand at all times so that it doesn't run out when needed. She suggested Swanson find out how many brochures each city department thinks it will need monthly so that they can always be accommodated. Upcoming projects • After restating the committee's two main objectives for the year (implement a customer service program and develop a communications guide) the committee discussed which project to tackle first. Member Sommers suggested the task force tackle the customer service program first because it may help in creating the communications guide. The committee concurred. Swanson distributed copies of Hennepin Parks Mystery Guest Program and suggested that everyone review prior to the next meeting. Other business Member Alexander asked that his phone number be changed on the member list to 566-1785. Adjournment 8:15 p.m. Next meeting (Note new date) April 12, 1994 at 7 p.m. in Conference Room B at City Hall. 0
