HomeMy WebLinkAbout1996 01-19 Minutes Steering Committee • DISCOVER THE CENTER STEERING COMMITTEE JANUARY 19, 1996 CONFERENCE ROOM B CALL TO ORDER The Discover the Center Steering Committee was called to order at 9:15 p.m. ROLL CALL Members present: Committee Chair Bob Peppe, Committee Members Rod Snyder, Karen Youngberg, Mary Welch, and Jim Soderberg, Assistant City Manager/Personnel Coordinator Nancy Gohman. Also present: City Manager Mike McCauley. INTRODUCTION OF MIKE MCCAULEY The Committee introduced themselves to City Manager Mike McCauley. The Steering Committee had previous discussions regarding the structure of Discover the Center Steering Committee. Questions such as should it be commission or a nonprofit operation set up as a 501 C3. The question is how can we keep Discover the Center as independent as possible and not make it a City commission. Can the liability issue be handled through a rider, tagging onto somebody else's insurance when there is an event? Mary Welch stated this is' how the Heritage Festival is set up, but the Heritage Festival has no insurance. 501 C3 donations are tax deductible. There was a general question regarding the paperwork to assist to get started down the road to be a 5010. Mike McCauley stated that he would talk to the attorney and get help with the leg work on this matter. • There was a motion by committee member Mary Welch and seconded by committee member Karen Youngberg to request that the City Manager look into the possibility of setting up a 501C3 for Discover the Center and bring back the information to the committee. The motion carried. FINANCIAL DISCUSSION Assistant City Manager/Personel Coordinator Nancy Gohman passed out the financial report for year -end 1995. Ms Gohman asked that the committee approve a bill that she had already forwarded for payment; final bill for Mona, Meyer, McGrath. There was a motion by committee member Karen Youngberg and seconded by committee member Rod Snyder to approve the bill paid final bill for Mona, Meyer, McGrath. The motion carried. There was a general discussion by Karen Youngberg that there is an outstanding bill of approximately $200 that needs to be paid. Mary Welch stated there is an outstanding room rental bill from constitution hall rented January 13, 1996. Both bills would be submitted to Nancy Gohman for payment. Mary Welch discussed the January 13, 1996, meeting of Discover the Center subcommittee. The group also wanted to have a meeting on February 17, 1996, but the facility was booked. The subcommittee will look into setting up another meeting. 01/19/96 -1- • FRIENDSHIP GAMES Committee Chair Bob Peppe discussed the Friendship Games and discussions should begin with Brooklyn Park who is hosting the games in 1996. Mary Welch stated that she would talk to Brooklyn Park to ensure that the Friendship Games will move ahead for 1996. FUN RUN Karen Youngberg stated that she will be in touch with Sue LaCrosse in Recreation to ensure details on the Fun Run for Discover the Center during Earle Brown Days in June of 1996 will be handled. T- SHIRTS There was a request and a concern on how many t -shirts are left. Nancy Gohman stated that she would count t -shirts and report back to the Steering Committee the numbers at their next meeting. ACTION COMMITTEE COORDINATORS MEETING WITH STEERING COMMITTEE There was a general discussion and consensus that the Steering Committee will set up a meeting with the Action Committee Coordinators. Initially, it was thought that January 31, 1996, would be the date, but due to the Heritage Festival and other time constraints the group would like to move the meeting until February 22, 1996. It was a consensus that Nancy Gohman would set the meeting dates, book a room, and send out invitations to the Steering Committee and Action Coordinators to talk about Action and Plans for 1996. The invitations should state that this is an opportunity to share with and update the Action Coordinators on Discover the Center; to discuss with all of us where we • are, what proposed action plans we want to proceed with and to create a central focus for 1996. HERITAGE FESTIVAL Mary Welch discussed the Heritage Festival and wondered if Discover the Center would donate $250 towards the Heritage Festival. There was a motion by committee member Mary Welch and seconded by committee member Jim Soderberg to promote the Heritage Festival and donate $250 from the Discover the Center. Motion carried. Mary Welch asked if the Council could do a proclamation on the Heritage Festival. OTHER Nancy Gohman had a general discussion about budget to remind all the members to stay within the budget that we cannot go into a deficit with the budget. There was a discussion at the next meeting is set for February 16, 1996, at 8:30 a.m. There was a motion by committee member Karen Youngberg and seconded by committee member Jim Soderberg to adjourn the meeting at 10:20 a.m. The motion carried. • 01/19/96 -2-
