HomeMy WebLinkAbout1998 01-20 EBDM Earle Brown Days Meeting Minute January 20, 1998 PRESENT: Holcomb, Graham, Bergeland, Roen, Cohen, LaFond, Milton, Youngberg, LaCrosse and parents from the junior ambassador program. The meeting was called to order at 7:37 a.m. by Cohen. FINANCIAL REPORT: No report. LaCrosse said we should be pretty much where we were in November. Cohen said that figure was $11,103.  DISCUSSION OF HENRY DORFFS MEMO : Cohen said Henry Dorff comes from an accountant background and is concerned about the way some of the money is recorded, particularly the junior ambassador program. Cohen said Dorff has suggested changing the structure of the junior ambassador committee by making them a separate entity. EBD would continue to support them in the same manner providing there were funds available. In his memo, Dorff said he is required to report finances over $25,000. With the JA separate budget, this could put us over the amount we can have without having to file. Graham said she has some concerns. She said one of the issues is insurance. Also, with her schedule, she does not want to have the paperwork and expense involved with another organization. She added she was told she had to go out and raise money if they wanted to use the Heritage Center. Cohen said now the money has been raised and it has to be reported. He said support for the Junior Ambassadors has been shown by EBD and the support will continue during the transition. The change would not change the participation or the financial part of the program. Holcomb said she looks at EBD as a one week event and the Junior Ambassador Program goes on all year. She said this does not make sense. Holcomb said she believes the JA bring an awareness to the community of BC, not to EBD. Graham said she believes it does bring an awareness to EBD. LaCrosse said she has called the State and the filing fee is only $75. She said EBD carries spectator insurance on all of its events. She suggested the JA participate only in parades that carry spectator insurance. Graham said some parades require them to carry insurance. Graham handed out a counter proposal with five options. Cohen suggested this issue be tabled to next month to give Dorff and other committee members an opportunity to read and respond to the counter proposal. Cohen suggested the parents and Graham go back to the rest of their committee and discuss this. He emphasized again the change will not diminish the financial support. Something new takes time. We have a change coming with a recommendation from the chairman of EBD. There was a motion by Youngberg, seconded by Bergeland to table this issue to the February meeting and to send the information to Dorff. Motion carried. 1 PAYMENT OF BILLS: City of Brooklyn Center $93.44 Postage There was a motion by Bergeland, seconded by Youngberg to approve payment. Motion carried. Arts & Crafts Fair: Holcomb said it is in the Arts Directory. She would like some new food vendors, something with food rather than snacks, especially American. Cohen asked if she would like to sit down with the chamber and look at it as a community event. Cohen will set up a meeting. Ice Cream Social: LaFond said they would like to add a few elements to draw families. They would like to create an atmosphere for people to stay around. The community band is great. It will stay on Friday night. She thinks Daytons will sponsor again. 10K: Youngberg said they are looking at a corporate sponsor.  Day of Historical Significance: Bergeland passed around a proposal. She said it is both Kueflers and her suggestion to run this event in 1999 on the Sunday of EBD. This will give them enough time to put together a really great day. There was a motion by LaCrosse, seconded by Roen to accept this recommendation. Motion carried. NEXT MEETING: Tuesday, February 17, 7:30 a.m., Conference Room B, City Hall.
