Earle Brown Days
Meeting Minutes
October 19, 1999
PRESENT:
Dorff, Roen, Cohen, Campbell, Youngberg, Zastrow, Ditty,
Holcomb and LaCrosse. The meeting was called to order at 7:35 a.m. by Dorff.
APPROVAL OF MINUTES:
There was a motion by Ditty, seconded by Youngberg to approve the
minutes of September 14, 1999. Motion carried.
Kids Fishing Contest:
LaCrosse said the fishing contest will continue with BrookPark Dental
sponsoring. Ditty said if they decide not to sponsor the event, Fleet Farm will sponsor.
Parade:
Ditty said the writing in the band letters will change to read this is a parade competition, not a
field competition. Both Park Center and Champlin Park bands caused huge gaps in the parade. LaCrosse
suggested sending out a letter to just the two schools who violated the policy. Ditty said the float
competition will stay the same.
FINANCIAL REPORT
: Zastrow reported a balance of 4,980.17 in checking, $8,304.97 in one CD and
$2,147.64 in the other CD. This gives us a balance $14,932.78. LaCrosse said that $500 is earmarked for
Year 2000 celebration. Money was from North Metro.
Arts & Crafts Fair:
Holcomb said the donut bill was $112.50 which is more than she expected. She said
her number one priority is to get a different donut vendor. Last year he wasnt ready until 11 a.m. This year
she told him he had to report at 6 a.m. This year he left part of his coffee pot at home and wasnt ready until
1 p.m. He also over charged for other beverages. On Sunday evening, she asked them to dim or turn lights
off for the fireworks. They told her no and said they did not agree to such a thing. They also went around to
the other food vendors suggesting they turn their lights back on too. Holcomb said the person from Tribal
Treats said she could put something together for the morning treat. Holcomb said she would like to invite all
of the food vendors to come up with some type of morning special and crafters could then have a choice.
The Midwest Art Fair directory is coming out soon and Holcomb will be placing an ad.
Picnic/Games:
Dorff said it was pretty much a success but would like more kids. He said there must
be some way to attract the kids at the high schools. LaCrosse said you have to involve them in the planning
process. She suggested the publicity sub committee discuss this issue. She also said that Pat Milton wants to
do some type of teen event. Cohen suggested for the Millennium Picnic & Games that special prizes be given
out, such as the three oldest, the three youngest. Cohen said it goes back to who do we want to target.
Dorff said it doesnt seem like many people bring a picnic. So the name Picnic & Games doesnt mean
much. Ditty suggested Family Day In The Park and include toys, games, crafts, fishing contest, etc.
Publicity:
Dorff said that LaCrosse gave him a report of the current publicity and things that have been
done in the past. He will have copies made and distributed to the publicity sub-committee.
Sunday In Central Park:
LaCrosse said this event will continue.
10K/2 Mile Run/Walk:
Youngberg said Discover The Center is not meeting. She said the Schullers
would run the event and she would continue to assist them. She asked the committee to consider sponsoring
1
the event. She said the cost is about $800 to $900 in expenses and have always made money. Last year, they
made about $600. She will again try to get HealthPartners to sponsor. There was a motion by Dorff,
seconded by Cohen for Earle Brown Days to sponsor the 10K/2 Mile Run/Walk. Motion carried.
Year 2000:
Cohen passed out a handout from the agenda from the last Year 2000 committee meeting.
The first thing is to develop the plans for the birthday party. The approach to fundraising will be individual
contacts. He is waiting to see what the Lions will do. He has talked to Marquette Bank. The Tourism
Bureau has given the committee $500. Earle Brown Days has fronted some money. He is asking for $1,000
from different companies. Tony has written a letter to the fire association. They need to raise money for the
fireworks. He hopes to also raise money from merchandise sales. Cohen said Joelien has agreed to be
treasurer. He needs to get papers from Henningson, set up officers and a board of directors.
OLD BUSINESS:
Dorff said he sent out requests for making a manual of the various events. So far he has
gotten information about the 10K and the Picnic & Games. He said we are not going to be around forever
and someone else could take over easier. He said some type of background information is important so the
event can continue. Cohen will also write something up about budget/finance.
NEW BUSINESS:
Dorff said it would be nice to have a special activity like a carnival or circus. Cohen
said with the carnival, you have to give them a guarantee. He said we can do anything we want with the
personnel. With the circus, you have to sell a lot of advance tickets. He said we experimented with the
wrestling even though we knew it would be a money loser. Cohen said we have good events and we should
only add things that compliment and enhance the current activities. Youngberg said she thought we would
not be adding any new events unless there were the funds and committee members to run it.
Holcomb said she struggles to get crafters. LaCrosse said the recreation department is having a hard time
getting crafters for their craft show. Holcomb asked if they used to have waiting lists. LaCrosse said yes.
Holcomb said maybe we need to look at people who have non-qualifying merchandise. However, once you
bring these people in, you harm the arts & crafts fair. Another idea is to add a Farmers Market and have a
bazaar.
Ditty asked which set of by-laws should be used. Dorff said the most current one.
PAYMENT OF BILLS:
Pre approval for the Minnesota Art Fair for $250 for page ad.
City of Brooklyn Center $34.65 Postage - August & September
Trophies By Linda 13.26 Tax due from 1997 on trophies.
There was a motion by Youngberg, seconded by Zastrow to pay these bills. Motion carried.
NEXT MEETING:
To be determined.
ADJOURN:
The meeting was adjourned at 8:55 a.m.
Respectfully Submitted,
Sue LaCrosse,
City Liaison
