HomeMy WebLinkAbout2002 01-15 EBDM Earle Brown Days Meeting Minutes January 15, 2002 PRESENT: Phil Cohen, Councilmember Ed Nelson, Larry Roen, Toni Johns, Karen Youngberg, Tony Ditty, Ab Johnston, and Sue LaCrosse. Phil Cohen called the meeting to order at 7:42 a.m. APPROVAL OF MINUTES: There was a motion by Larry Roen seconded by Tony Ditty to approve the minutes of September 25, 2001. Motion carried. FINANCIAL REPORT: No report. Family Fun & Games: Karen Youngberg said we would have the event. Ice Cream Social: Phil Cohen said he would contact Brookdale to see if they will continue this event and if the food court area will be open yet. Kid’s Fishing Contest: Sue LaCrosse said she would contact BrookPark Dental about sponsorship of the event again. Music/Fireworks: Sue LaCrosse reported the City might be cut even more in State aid. She said the recreation department might not be able to have Entertainment In The Park this year. We have also been told to hold off in signing the contract with the fireworks company. She said the Castaways music group is holding the date open for us. She wanted some direction on what to do. There was a motion by Tony Ditty, seconded by Karen Youngberg to authorize a contract with the Castaways not to exceed $2,000. Motion carried. There was a motion by Tony Ditty, seconded by Toni Johns for tentative approval of the fireworks with discussion of the budget to be tabled until next meeting. Motion carried. Arts & Crafts Fair: Toni Johns said the box is ready to go. Karen Youngberg said Mary Baker would like to help. Tony Ditty is volunteering his services as a clown. Toni Johns would like to schedule a meeting with Sue LaCrosse to revise the forms. Toni Johns has had inquiries already from people in the community. She would like to require people to stay until the time designated on their forms. However, they have their own agendas so it might not be possible. Parade: Tony Ditty reported that they would be allowing the distribution of candy along the curb. However, they will not be allowed to throw things. He would like to change some of the wording on the band letter too. Sue LaCrosse asked if they had a grand marshal yet. Tony Ditty said he would have someone soon. Sue LaCrosse said the sound person is already booked for the awards ceremony. Tony Ditty said he would like to have the same person work with Northwest Community TV to announce at the parade. Publicity: Karen Youngberg said she would like more flyers out to the community. Sue LaCrosse asked how we could do that. Tony Ditty said he might be able to have the boy scouts go house to house. Phil Cohen asked if there was a way to track which type of advertising is working the best. Sue LaCrosse said we 1 already track that on the door prize slips for the arts & crafts fair. When filling out the slip, they are asked how did you hear about this event. She said she made out special forms for check in at the Kid’s Fishing Contest and the Family Fun and Games. The people checking in the participants were supposed to ask them how they heard about the event. However, they did not do that. Sue LaCrosse will bring the forms to the next meeting. She said she read that mostly older people read the paper. When we advertised on the radio and cable television, it did not seem like we got our money’s worth. Phil Cohen said this would be part of the financial discussion at the next meeting. Toni Johns had a suggestion for a location for one of the banners. Sue LaCrosse will find out exactly where the banners have been put up in the past and report at the next meeting. Tennis Event: Ab Johnston asked if they could put up banners of sponsors on the day of the event. Sue LaCrosse said that was no problem. He is all set to go. Teen Street Dance: Sue LaCrosse said she would meet with the Brooklyn Center Leo club to find out if they are interested. If they are not interested in this event, she will not pursue it. Toni Johns said we would need maintenance cooperation too. She will talk to them. Sue LaCrosse asked what kind of financial support would the EBD committee be able to provide. Phil Cohen said more financial information is needed. Youth Golf Tournament: Sue LaCrosse said she thinks it will be held. She will check with Arnie Mavis. Other Events: Phil Cohen asked if the EBD committee wanted to recommend anyone for the st special award to be given out during the 91 Birthday Celebration. There was a motion by Ed Nelson, seconded by Karen Youngberg to nominate Henry Dorff for recognition at the Special Events event on February 9. Motion carried. NEW BUSINESS: Schedule of meeting dates: February 19 March 19 April 16 May 7 and 21 June 4, 11, 18 NEXT MEETING: Tuesday, February 19, 2002 – 7:30 a.m. in City Hall, Conference Room A – Upper level.
