HomeMy WebLinkAbout2003 04-15 EBDM Earle Brown Days Meeting Minutes April 15, 2003 PRESENT: Phil Cohen, Dan Vang, Daniel LaFond, Toni Johns, Ab Johnston, Kathleen Carmody, Cathy Ballot, David Galchutt, Tony Ditty, Karen Youngberg, Henry Dorff and Sue LaCrosse. Henry Dorff called the meeting to order at 7:35 a.m. Financial Report: Cathy Ballot reported a checkbook balance of $3,305.45. The two outstanding checks from last year’s parade have been added in. With the two CD’s there is a balance of $15,240.92. Cathy said a check was received today from the Lions Club for the parade in the amount of $5,000. Arts & Crafts Fair: Sue LaCrosse said there are approximately 15 spaces sold so far. This is down from last year. There are three food vendors. Toni Johns said the Lions Club would have their concession stand at the event. There was a motion by Tony Ditty, seconded by Toni Johns authorizing Sue LaCrosse to spend up to $100 on advertising for crafters. Motion carried. Family Fun & Games: Henry Dorff said the event has gone over well in the past and he sees no reason to change. Sue LaCrosse said that last year there was discussion to have one Hmong game or contest. Dan Vang said he will bring an idea to the next meeting. Ice Cream Social: David Galchutt reported he has a permit from from Hennepin County Health Department. Phil Cohen asked if they would issue tickets again. David Galchutt said he would prefer to have their hand stamped. It was reported some people went through the line more than once last year. Kid’s Fishing Contest: Sue LaCrosse said it would be difficult for her to find someone to be the fish official this year. In the past, this person was one of the summer staff. Because of the budget cuts, most of the summer children’s programs have been eliminated. Therefore, we won’t have any staff. This person is responsible for taking the fish off the hooks, measuring them, and releasing them back into the creek. Karen Youngberg, Phil Cohen, and Toni Johns will find a fish official. Music/Fireworks: Phil Cohen said Dale Greenwald’s band would perform from 7-10 p.m. The cost of the group is $1,200. Dale Greenwald will donate $250. Cost for Earle Brown Days would be $950. Parade: Tony Ditty said Doug Darnell has agreed to be the parade grand marshal this year. Tony Ditty will bring the budget to a future Lions Club meeting to show members what their $5,000 donation pays for. David Galchutt and Karen Youngberg suggested we send them a thank you letter and reinforce that without their financial assistance, the parade would not be possible. Tony Ditty suggested we wait until after the parade. Publicity: Sue LaCrosse distributed the schedules, which are printed in City Watch. She reported on a publicity proposal sent by Channel 12. They would advertise the parade and other festival events about a week before the event on channel 12, have information on their website and telecast live from the parade site. They would also give out some door prizes at the parade. The monetary value is $596.00. In return, they 1 would like to be recognized as a sponsor and have their logo included in print promotion. Sue LaCrosse said we could have their logo printed in the tabloid and list them as a sponsor. She said we could also print the parade replay times in the tabloid providing they have that information by press time. There was a motion by Tony Ditty, seconded by David Galchutt to accept their proposal. Motion carried. Tennis Carnival: Ab Johnston said everything is okay. He is interested in connecting this activity with the tennis program at Brooklyn Center High School. Teen Street Dance: Dan Vang reported the committee met last week. Sue LaCrosse said the committee is asking for subsidy for two portable restrooms for a maximum cost of $250. Youth Golf Tournament: Karen Youngberg said she has talked to Arnie Mavis and everything is set. Insurance: Sue LaCrosse said she has to send in our request for insurance soon. There was a motion by David Galchutt, seconded by Karen Youngberg to insure the parade, teen street dance, arts & crafts fair, kid’s fishing contest, tennis carnival, family fun & games, and concert. Motion carried. OLD BUSINESS: Kathleen Carmody asked about the 5K event previously held during Earle Brown Days. Karen Youngberg said the people who were runners did not want to help anymore and she is not a runner. Also, there was no sponsoring agency. Henry Dorff said he is looking for people to help solicit donations of prizes and gift certificates from the business community. Karen Youngberg, Daniel LaFond, and Tony Ditty said they would help. He will update the list and bring to the May meeting. Budget/Finance: There was a motion by Phil Cohen, seconded by Karen Youngberg to adopt the budget. Motion carried. Payment of bills: City of Brooklyn Center $60.58 Postage There was a motion by Phil Cohen, seconded by Toni Johns to pay the bill. Motion carried. NEXT MEETING:Council/Commision Conference Tuesday, May 20, 2003 – 7:30 a.m. in the Room, lower level at CITY HALL. Meeting Schedule: May 20, June 3, 10, 17, and 24.
