HomeMy WebLinkAbout2003 05-20 EBDM Earle Brown Days Meeting Minutes May 20, 2003 PRESENT: Phil Cohen, Dan Vang, Daniel LaFond, Toni Johns, Ab Johnston, Kathleen Carmody, Cathy Ballot, David Galchutt, Tony Ditty, Henry Dorff and Sue LaCrosse. Henry Dorff called the meeting to order at 7:35 a.m. Financial Report: Cathy Ballot reported a checkbook balance of $8,245.14. With the two CD’s there is a balance of $20,199.93. Budget/Finance: Phil Cohen said the letters would be going out today. He will be making a personal call to some of them. He said the city’s contribution is going to be tougher. The fireworks will come out of the reserve for this year. Sue LaCrosse said the city is requiring payment for the items as they are paid out, for example advertising. The city will need payment for the fireworks up front. One of the CD’s would give us $9,396 in principal with a loss of about $151 in interest if cashed in early. Motion carried. Arts & Crafts Fair: Toni Johns reported that registrations have picked up. We have 40 vendors. We have a variety of food vendors including lemonade, mini donuts, Taste of Greece and maybe ribs. We are doing okay. She asked if anyone had any ideas for the community service space. Last year we had Relay for Life and the year before the Historical Society. She suggested possibly Big Brothers & Sisters. If anyone has an idea for a group, they should call Toni Johns. There was a motion by Tony Ditty, seconded by Kathleen Carmody to give Toni Johns authorization to select a community service organization. Motion carried. Family Fun & Games: Henry Dorff said the event is set. He said that last time we had talked about adding a game native for the Hmong population. Dan Vang said he did some research on a game possibility and found out the kids are Americanized. He said we are right on with the games we have. Ice Cream Social: David Galchutt reported he has recruited the Brooklyn Center Moms Club to help with the ice cream cones. He just needs to get a few supplies and he is set. Kid’s Fishing Contest: Sue LaCrosse asked if Toni or Phil had found someone to take the fish off of the hooks. Phil Cohen said he will ask at Rotary. Toni Johns said she would volunteer Leo. Music/Fireworks: Sue LaCrosse said that Phil Cohen lined up the music this year. Phil Cohen said Dale Greenwald’s band Midnight Breeze will perform. Dale will kick in $250 towards the charge of $1,200. Sue LaCrosse said she needs a picture. Phil Cohen will try to get one from Dale. If that doesn’t work, he said he took pictures of the band at the birthday party. Parade: Tony Ditty reported 73 units plus 8 bands. He will be meeting with the police department to coordinate the barricades and the reserve officers. 1 Publicity: Sue LaCrosse distributed the publicity proposal. So far, we have spent $44.00 for a Star Tribune classified ad for crafters, $15.00 for an Asian Pages classified ad, and $25.00 for a Hmong Times classified ad. The quote for display ads in the Star Tribune is $604.80 for an Earle Brown Days ad for two days and $806.40 for an arts & crafts ad for three days. It will cost $246.65 to have the dates changed on the banners. The Broadway Rental portable sign rental is $102.96. An additional $50 could be spent on another classified ad in the Star Tribune promoting the show. The total is $2,038.81. Sue LaCrosse said that after she prepared this proposal, she received a call from a publication called Family Times. They have a distribution of 65,000 in 800 different locations such as Blockbuster, some Cub & Lund stores, Caribou Coffee, Children’s World, libraries, and pediatric offices. She said the cost would be $100 for a directory listing of 50 words. It would also go on their website. There was a motion by Daniel LaFond, seconded by Kathleen Carmody to approve the publicity budget for $2,138.81. Motion carried. Sue LaCrosse distributed color copies of the Earle Brown Days schedule and asked the committee to see if businesses in our community would post them. She said she could make a few more if needed. She is also working on the tabloid articles for the Sun Post. Tennis Carnival: Ab Johnston said everything is set. Roger Boyer knows the coaches of the Brooklyn Center program. He said they are in good shape. Teen Dances: Daniel LaFond reported that there is a combined effort for teen activities. In addition to the street dance on Friday, he will host an event on Saturday. He has lined up a D.J. and has received donations from a couple of different vendors. There will be fun prizes both evenings. Dan Vang thanked Heart Alive for reaching out to the teens. Dan Vang said he has talked to the police chief about the Friday Teen Street Dance. He said the plan last year was to reach out to the principals of the different schools. A problem was that it was at the end of the school year. Also, because the event was off campus, the principals did not want to sanction. Dan Vang said this year we are hitting the business community. Youth Golf Tournament: No report. NEW BUSINESS: Kathleen Carmody reported that the city council has prioritized various city functions and programs for next year. Level 5 is the lowest and that is the priority given to Earle Brown Days. There may be some funds; however, not at the current level. Kathleen Carmody recommended the committee prioritize what we want from the city. Payment of bill: Family Times $100.00 Publicity Listing There was a motion by David Galchutt, seconded by Tony Ditty to pay the bill. Motion carried. NEXT MEETING:Council/Commision Conference Tuesday, June 3, 2003 – 7:30 a.m. in the Room, lower level at CITY HALL. Meeting Schedule: June 10, 17, and 24. ADJOURN: There was a motion by Kathleen Carmody, seconded by David Galchutt to adjourn the meeting. Motion carried.
