HomeMy WebLinkAbout2006 07-25 EBDM Earle Brown Days Meeting Minutes July 25, 2006 PRESENT: Cathy Ballot, Nancy Doucette, Shelley Klaessy, Karen Youngberg, Phil Cohen, Ritchie Miller, Mike Meyer, Councilmember Kathleen Carmody, Gboyee Seeyon and Sue LaCrosse. Karen Youngberg called the meeting to order at 8:00 a.m. APPROVAL OF MINUTES: There was a motion by Ritchie Miller, seconded by Cathy Ballot to approve the minutes of the June 20, 2006 meeting. Motion carried. TREASURER’S REPORT: Cathy Ballot reported $19,434.81 with one outstanding checks of $500 st for 1 place band AA. The balance in the checkbook is $18,934.81. BUDGET/FINANCE: Sue LaCrosse reviewed the budget worksheet. ARTS & CRAFTS FAIR: Karen Youngberg reported that the tables need to be manned. One crafter needed a bathroom break and no one was available. People need to be encouraged to sign up for the door prizes. All of the crafters had left by 5:00 p.m. because of the rain. Coffee was the biggest issue. Next year Caribou or Panera will deliver pots of coffee and Donut Delight will deliver donuts. BINGO : Cathy Ballot reported there was a good crowd until it rained. They plan on doing it again next year. FAMILY FUN & GAMES: There were 143 adults and 160 children. Councilmember Kathleen Carmody said the games went a little fast for them to keep up with the distribution of prizes. The goal is to be done by 4:00 p.m. so that there is no conflict with Bingo and to allow ample time for the band to set up for the concert. There was also some confusion with some of the winners. The volunteers catching the winners had trouble getting back in time to get the next group. Karen Youngberg suggested that next year they get more help. It was suggested that maybe some of the events need to have two groups because of the numbers of people participating. Some volunteers felt that the race lengths were too short. A suggestion is to lengthen for next year. There was a little confusion with the tickets this year. Some people were given or kept both halves. The handling of the door prizes went well. She wanted to do a grand prize drawing for the Twins tickets, but that did not work out. ICE CREAM SOCIAL: Shelley Klaessy reported there is definitely an interest to keep it going. There were good comments on the Teddy Bear Band. The Mom’s Club did a good job. This event is very popular and well attended. KID’S FISHING CONTEST: Sue LaCrosse said the children caught more fish this year than in previous years and the number of participants was up despite the rain earlier that morning. The Dunkin the Dolphin presentation went well. Children liked the dolphin goodie bags. It is nice to give the children something when they check in. MUSIC/FIREWORKS: Sue LaCrosse said she was so impressed with Midnight Breeze playing during the drizzle. The fireworks were spectacular. She did not see much difference between the $8,000 show we had this year compared to the $10,000 show last year. PARADE: Nancy Doucette reported they passed out 100 evaluations. They got 37 back with really good feedback. 85% rated the parade above average or excellent. The vast majority of people lived within one to five miles. They commented we need more bands or performances and there were too few commercial units. The parade committee is going to work on getting more bands next year. PHOTOGRAPHER: No report. PUBLICITY: Sue LaCrosse said the Radio Disney program went well. The crowd was great and the DJ really got everyone involved. The Wells Fargo people stayed afterwards to help with the Fun & Games. There was a good crowd for Dora The Explorer and face painting for two hours worked well. Karen Youngberg and Sue LaCrosse are going to look into Prime Advertising for publicity next year. The Sun Post did a poor job for the third year in a row. Sue LaCrosse said we did get a second printing of our tabloid that went out on June 21, which probably helped. Sarah did a great job with her article. TRIVIA CONTEST: There were three teams this year and they really had fun. It was suggested maybe we have some organizations challenge each other next year. Motion carried. NEW BUSINESS: Cathy Ballot suggested putting $12-13,000 into a CD until May of next year. This was approved. NEXT MEETING:Council/Commission Tuesday, September 19, 2006 at 8:00 a.m. in the Conference Room, lower level at CITY HALL. This is our annual meeting.
