HomeMy WebLinkAbout2008 05-20 EBDM Earle Brown Days Meeting Minutes May 20, 2008 PRESENT: Mike Meyer, Cathy Ballot, Phil Cohen, Councilmember Mary O’Connor, Joy Reinhart and Sue LaCrosse. Phil Cohen called the meeting to order at 4:00 p.m. APPROVAL OF MINUTES: There was a motion by Mike Meyer, seconded by Councilmember Mary O’Connor to approve the minutes of the April 15, 2008 meeting. Motion carried. TREASURER’S REPORT : Cathy Ballot reported $12,365.06 in checking and $15,524.25 in the CD for a total of $26,782.41. BUDGET/FINANCE: Sue LaCrosse highlighted the changes and additions to the budget proposal. We have received a commitment from Medtronic for Fireworks and $1,000 from Globe College/Minnesota School of Business for parade. CRAFT & BUSINESS EXPO: Joy Reinhart reported she plans to have the vendors take a different path to unload. She wants them to park in the city hall lot. She is making available a number of smaller spots. The committee is also updating the map. Sue LaCrosse will contact Taste of Greece to see if they are returning. The donut/coffee ticket will have an expiration time on it. DUNKIN BIRTHDAY PARTY : No report. FACE PAINTING: No report. FAMILY FUN & GAMES: Councilmember Mary O’Connor has contacted businesses to get gift certificates. Most of them would like a letter. Sue LaCrosse will print them up. HIGH SCHOOL MUSICAL: No report. ICE CREAM SOCIAL: Mike Meyer will serve as liaison to Brookdale and touch base with them a couple weeks before the event. KID’S FISHING CONTEST: Sue LaCrosse has not heard from BrookPark Dental about their sponsorship this year. Phil Cohen will contact them. MAGIC SHOW : No report. MUSIC/FIREWORKS: We will have an $8,000 fireworks show. PANCAKE BREAKFAST: The pancake breakfast fundraiser will be canceled for this year. Sue LaCrosse will contact the manager at Applebees. PARADE: Mike Meyer said Red Wing High School has dropped out. He plans to contact units that were in the parade last year but have not sent in forms for this year. Councilmember Mary O’Connor would like a 1 sign without the magnet. PUBLICITY: Phil Cohen suggested focusing the Northwest Cities show on the parade and the honoring the veterans program. He further suggested maybe someone from Rotary could talk about Family Fun & Games. He said we have the best parade in the Northwest area and that should be highlighted. He asked Sue LaCrosse to check to see if we could have a longer program. Sue LaCrosse said that Channel 12 will broadcast live from the Dunkin Birthday Party. This gives us opportunity to promote our Saturday events. They may want to interview different committee members about those upcoming events. She said our ads have been placed. She is working on tabloid articles. She has flyers for committee members to distribute. SENIOR GOLF TOURNAMENT: No report. TRIVIA CONTEST: No report. OTHER EVENTS: Phil Cohen reported on the Honor the Veterans program. As part of the band concert, veterans would be honored with the band playing the Armed Forces Services Medley. Service men and women would be requested to stand. Phil Cohen will meet with the Legion to gain their support. If approved by them, he will take opportunity at the Memorial Day Observance at Mound Cemetery to announce the event. The only expense proposed is the purchase of flags at 56¢ each; number to be purchased would be decided later. There was a motion by Sue LaCrosse, seconded by Cathy Ballot to support the preliminary approval of the proposal and plan of action for the Honor the Veterans program. Motion carried. Phil Cohen will keep the committee updated. NEW BUSINESS: Cathy Ballot reported she filed a 990-N to the IRS. This needs to filed annually. Bill approval: Latino Communications $242.00 Newspaper ad Radio Disney $3,700.00 High School Musical There was a motion by Mike Meyer, seconded by Joy Reinhart to approve payment of bills. The committee decided to meet every Tuesday in June at 4:00 p.m. Sue LaCrosse said everyone on the Earle Brown Days committee should have received an invitation to the Centennial meeting next week. If you decide to attend the meeting, it is not a commitment to join it. EXT MEETING: Room 221 (upper level) at the N Tuesday, June 3, 2008 at 4:00 p.m. in the COMMUNITY CENTER. Meeting schedule: Tuesday, June 3, Tuesday, June 10, Tuesday, June 17, Tuesday, June 24 at 4:00 p.m. at the community center.
