HomeMy WebLinkAbout2009 07-21 EBDM Earle Brown Days Meeting Minutes July 21, 2009 PRESENT: Mike Meyer, Joy Reinhart, Cathy Ballot, Phil Cohen, Karen Youngberg, Kathleen Carmody, and Sue LaCrosse. Kathleen Carmody called the meeting to order at 4:12 p.m. APPROVAL OF MINUTES: There was a motion by Mike Meyer, seconded by Karen Youngberg to approve the minutes of the June 23, 2009 meeting. Motion carried. BUDGET/FINANCE: Sue LaCrosse reviewed the budget sheet. She said it looks like we need to take about $700 from reserves. TREASURER’S REPORT: Cathy Ballot reported a balance of $18,278.05 in checking. There was a motion by Joy Reinhart, seconded by Karen Youngberg to approve the treasurer’s report. Motion carried. CHARACTERS: Some people thought the Dora character did not look much like her. They were expecting more of a cartoon character. Kathleen Carmody was surprised at how many people were around for SpongeBob. He definitely needs an escort. CIRCUS MANDUHAI: Good show with lots of audience participation. Lots of people watched the show. CRAFT & BUSINESS EXPO: Joy Reinhart reported it was raining during the setup time and some decided not to setup. The cotton candy food vendor had a personal situation come up. We decided to give him a refund in hopes he will come back next year. The lemonade stand did not need electricity. Next year she will put her on the other side to draw people. She would also like to put Best Buy on the other side. Because of the weather, most exhibitors left at 5:00. Joy Reinhart is going to rework the letter. One exhibitor requested a refund. She wants no refunds added to the information. The non-profits did not attract any new customers. If the non-profit groups are expanded, it could detract from the vendors who paid. Phil Cohen thinks we need to stick with our original approval of having only one non-profit per year. Joy Reinhart said it was nice that BC Reads gave out free books. Joy Reinhart will review the non-profit group situation and come with a proposal for next year. DUNKIN BIRTHDAY PARTY: Sue LaCrosse said there was a really good turnout. Papa Murphy’s gave out at least 500 slices of pizza. There were at least 400 hotdogs served. Karen Youngberg said she heard lots of great comments. Sue LaCrosse said we should hire a third face painter next year. FACE PAINTING: This was very popular. FAMILY FUN & GAMES: Kathleen Carmody reported this was the smoothest year so far. There were more girls than boys. The prizes were good this year. HONOR OUR VETERANS: Phil Cohen said he received static because of the flags. They need to be raised. Some people couldn’t hear well. Phil Cohen said it is because two amps went out because of the 1 weather. He also received some complaints. He said if someone else has a better idea, they can do it. ICE CREAM SOCIAL: Sue LaCrosse said they made 200 cupcakes and had 12 left. They served 327 cones. The Joe Brough Band added a lot. This will not be an annual event. KID’S FISHING CONTEST: Sue LaCrosse said the weather impacted this event a lot. We had about half as many participants than last year. MAGIC SHOW : Some people complained because it was the same show they have seen before. However, there was a really good turnout. MUSIC/FIREWORKS: The fireworks were excellent. The weather hindered the turnout. PARADE: Mike Meyer reported the situation with the portable restrooms. He had saved all of his correspondence and let them know they had the date correct on the first email. Somewhere along the line, they got the date wrong. This probably happened when dealing with the price difference. Park Center took 2½ blocks for their staging area. He is going to watch the DVD but he thinks the St. Paul Clown Club stayed in their vehicles and did not interact with the crowd. If that’s the case, it is not worth it to pay them to come back. He wants to check with the band directors to see if there are some alternative judging possibilities because the band judges cost a lot. Sue LaCrosse asked if the committee would be interested in purchasing a portable PA system for around $600. We could use it at the parade, Dunkin’s Party, and the Saturday in the Park events. We would recoup our costs in less than 2 years. The committee would have to find members to set it up and run it. It was decided we would make this purchase. PUBLICITY: Kathleen Carmody suggested getting bids for signs if we need additional signs. SENIOR GOLF TOURNAMENT: There were approximately 70 golfers that participated in the tournament. OTHER EVENTS: OLD BUSINESS: None. NEW BUSINESS: Sue LaCrosse said we will need a chair for next year. She reviewed the committee members and their terms of office. Cathy Ballot and Mike Meyer’s terms will expire on September 30, 2009. Both indicated they would be willing to return for another term. Kathleen Carmody will continue to work on getting the prizes for the Family Fun & Games. Motion carried. 2 EXT MEETING: Room 221 (upper level) at N Tuesday, September 15, 2009 at 4:00 p.m. in the the COMMUNITY CENTER.
