HomeMy WebLinkAbout2009 05-19 EBDM Earle Brown Days Meeting Minutes May 19, 2009 PRESENT: Kathleen Carmody, Mike Meyer, Cathy Ballot, Phil Cohen, Karen Youngberg, Councilmember Tim Roche, Ben Trapskin, Michael Boe, Liz Fisher, and Sue LaCrosse. Kathleen Carmody called the meeting to order at 4:00 p.m. APPROVAL OF MINUTES: There was a motion by Cathy Ballot, seconded by Mike Meyer to approve the minutes of the April 21, 2009 meeting. Motion carried. TREASURER’S REPORT: Cathy Ballot reported $25,020.24 in checking. BUDGET/FINANCE: Sue LaCrosse reviewed the budget sheet. She said it appears we will need to take about $2,600 from reserves. She said Bixby is charging a lot more for the portable restrooms for the parade. Mike Meyer will call them. There was a motion by Phil Cohen, seconded by Mike Meyer to approve the budget/finance report. Motion carried. Phil Cohen asked Councilmember Roche if he made a financial request to US Bank. Councilmember Roche said he has by both a letter and voicemail. He will follow up. CRAFT & BUSINESS EXPO: The committee asked Sue to contact another ice cream vendor. Sue LaCrosse said we are down about four exhibitors from last year at this same time. Liz Fisher from the Brooklyn Historical Society requested they be allowed space at the expo. Phil Cohen explained we allow only one nonprofit group each year. This year it will be the Boys and Girls Club. There was a motion by Mike Meyer, seconded by Karen Youngberg to open the expo to any and all non-profit groups for 2009. Four in favor and two opposed. Motion carried. DUNKIN BIRTHDAY PARTY: No report. FACE PAINTING: No report. FAMILY FUN & GAMES: Kathleen Carmody said she has the prizes for the games but still needs to get door prizes. HONOR OUR VETERANS: Phil Cohen said Palmer Lake VFW will provide the honor guard. He will order flags. Mike Meyer will figure out how to hang the banners. Myrna Kragness has met with Duoos Bros. ICE CREAM SOCIAL: Kathleen Carmody said St. Al’s is having their ice cream social on the same day as ours. She will call the people in charge to see if they would be willing to change their date. Sue LaCrosse said Joe Brough’s band will be playing. They will be serving ice cream, cupcakes and beverage. The Historical Society has been asked to come dressed in costume. Chair, Kathleen Carmody left the meeting and meeting was turned over to Vice-Chair, Karen Youngberg. KID’S FISHING CONTEST: Phil Cohen will check with the police chief to make sure he will be helping. 1 MAGIC SHOW : No report. MUSIC/FIREWORKS: No report. PARADE: Mike Meyer reported on the tentative lineup. PUBLICITY: Councilmember Roche, Mike Meyer and Sue LaCrosse met with Jaimie at FastSigns. He is going to make 12 4' x 4' signs, 24 24" x 24" and 25 smaller event signs. He will charge us $750 and donate the rest. We have received permission from the city manager to put these signs up on City owned properties including the old Brookdale Ford site. At the next meeting she would like the committee to decide where we will put them. Sue LaCrosse said city employees cannot use Facebook or twitter. If anyone on the committee can promote Earle Brown Days through Facebook or twitter, she asked them to do so. If we can find a group to distribute flyers around the community, some money is budgeted for this. SENIOR GOLF TOURNAMENT: No report. OTHER EVENTS: No report. OLD BUSINESS: None. NEW BUSINESS: There was a motion by Phil Cohen, seconded by Mike Meyer to pay a bill for $1,106.00 to West Bend for insurance. Motion carried. Sue LaCrosse said the Crossings is trying to put together a senior king and queen program for one of our events. They would be in the parade. As long as there is no cost to us, the committee said it is okay. EXT MEETING: Room 221 (upper level) at the N Tuesday, June 2, 2009 at 4:00 p.m. in the COMMUNITY CENTER. Meeting schedule: Tuesday, June 2, June 9, 16 & 23. ADJOURN: There was a motion by Phil Cohen, seconded by Cathy Ballot to adjourn the meeting. The meeting was adjourned.
