HomeMy WebLinkAbout2009 09-15 EBDM Earle Brown Days Meeting Minutes September 15, 2009 PRESENT: Mike Meyer, Joy Reinhart, Cathy Ballot, Phil Cohen, Karen Youngberg, Kathleen Carmody, and Sue LaCrosse. Kathleen Carmody called the meeting to order at 4:00 p.m. APPROVAL OF MINUTES: There was a motion by Karen Youngberg, seconded by Mike Meyer to approve the minutes of the July 21, 2009 meeting. Motion carried. TREASURER’S REPORT: Cathy Ballot reported a balance of $16,907.40 in checking. RENEWAL OF BOARD MEMBER TERMS: There was a motion by Karen Youngberg, seconded by Joy Reinhart to approve renewal of a three year board term to 2011 for Cathy Ballot and Mike Meyer. Motion carried. The board of directors accepted Kathleen Carmody’s resignation. APPROVAL OF OFFICERS: There was a motion by Mike Meyer, seconded by Phil Cohen to approve the 2009-10 officers as Chair - Joy Reinhart; Vice-Chair - Karen Youngberg; Treasurer - Cathy Ballot; and Secretary - Sue LaCrosse. Motion carried. BUDGET/FINANCE: Sue LaCrosse reviewed the budget sheet. She asked committee members to review and estimate their revenue and expenses for next year. Phil Cohen distributed a list of the donations received over the past several years from banks and organizations. He said the signature events are the parade, fireworks and Saturday in the park. He will send a letter requesting funds from Wells Fargo and US Bank. Karen Youngberg suggested sending out the letters in mid-October because businesses are setting their budgets. It was suggested we contact Topline CU, TCF, and Surley Brewery. CHARACTERS: For the money, the characters are a good attraction. It also gives opportunity for businesses to sponsor an event that doesn’t cost too much. CIRCUS MANDUHAI: This was a good show but we probably won’t repeat for 2010. We should get something different. Also, we don’t want to put the extensions up on the showmobile because of the flags. CRAFT & BUSINESS EXPO: Joy Reinhart reported the map she had ready for the event was thrown away because of the rain. We hope to get the cotton candy vendor next year. We made $1,000 on the event. DUNKIN BIRTHDAY PARTY: Sue LaCrosse said she will continue this event through 2011 when Dunkin turns five. This event is supported by the City and is at no expense to Earle Brown Days. FACE PAINTING: We should continue this event. Joy Reinhart said it worked well to have them on the hill by the entrance to the Craft & Business Expo. FAMILY FUN & GAMES: Kathleen Carmody purchased prizes for next year. She will assist with organizing the prizes and may get door prizes. 1 HONOR OUR VETERANS: The flags need to be raised and hung from the showmobile. KID’S FISHING CONTEST: Sue LaCrosse said this event will continue because we have a sponsor. MAGIC SHOW : It will be decided at a later date if this event should be continued. MUSIC/FIREWORKS: We would like Midnight Breeze back. PARADE: Mike Meyer reported the area from Evergreen to East Palmer won’t work for a parade route. He will meet with Kevin Benner to discuss alternatives. He asked Sue LaCrosse to send Rich from ProSound a letter telling him that we have purchased a sound system and won’t need his services next year. PUBLICITY: We discussed the signs. This will be tabled for future discussion. Phil Cohen said he doesn’t know the status of the donation from Visit Minneapolis North. SENIOR GOLF TOURNAMENT: Sue LaCrosse said this event will be continued. They had a good turnout. OTHER EVENTS: Karen Youngberg said she would like to talk to Oak City about having their car show during Earle Brown Days. OLD BUSINESS: Phil Cohen said we should decide early on if we will accept more than one nonprofit into the Craft & Business Expo. He said he is opposed to it. This is tabled to a future meeting. NEW BUSINESS: Sue LaCrosse reported there is an unofficial Earle Brown Days website. The committee is concerned about inaccurate information that may appear on it. Phil Cohen said we should put on our site that we are the official website of Earle Brown Days Festival and this is the site for accurate up-to-date information. EXT MEETING: Room 221 (upper level) at the N Tuesday, October 20, 2009 at 4:00 p.m. in the COMMUNITY CENTER.
