HomeMy WebLinkAbout2011 09-20 EBDM Earle Brown Days Meeting Minutes September 20, 2011 PRESENT: Mike Meyer, Cathy Ballot, Karen Youngberg, Councilmember Dan Ryan, Phil Cohen, Joy Reinhart and Sue LaCrosse. Joy Reinhart called the meeting to order at 4:30 p.m. APPROVAL OF MINUTES There was a motion by Karen Youngberg, seconded by Mike Meyer to approve the minutes of July 19, 2011. Motion carried. TREASURER’S REPORT Cathy Ballot reported the balance in our checking account is $14,310.69 with two outstanding checks of $300 and $10.94 leaving us $13,999.75. RENEWAL OF BOARD MEMBER There was a motion by Cathy Ballot, seconded by Karen Youngberg to appoint Phil Cohen to a three year term to expire September 30, 2014. Motion carried. APPROVAL OF 2011 OFFICERS There was a motion by Myrna Kauth, seconded by Phil Cohen to approve Joy Reinhart, Chairperson; Karen Youngberg, Vice-Chairperson; Cathy Ballot, Treasurer; and Sue LaCrosse, Secretary as the 2012 officers. Motion carried. COMMITTEE REPORTS Budget/Finance – The committee reviewed the 2012 spreadsheet. Sue LaCrosse said we could have an ending balance of $5,168.09 in reserves at the end of next year. There was a motion by Karen Youngberg, seconded by Myrna Kauth to adopt this as a preliminary working budget. Motion carried. Characters – Sue LaCrosse said they did not really attract a lot of people this year. Unless a really popular character develops, she recommends we drop this. Craft & Business Expo – Joy Reinhart said this year went pretty good. She recommends a few changes for next year. She will go out to other shows for potential exhibitors. Karen Youngberg said she will be able to do that too. Joy Reinhart said not everyone who does an inside show will do an outside one. She asked that the Kids Craft Area be added as a sub item under Craft & Business Expo on the agenda. Dunkin The Dolphin Birthday Party – Sue LaCrosse said this event will not be held. Face Painting – Sue LaCrosse reported it did not look like it was a popular event. It is unknown if face painting is done so many places that it is not special or the time of day was not good. Another option would be to find an exhibitor that does face painting. At this time, we will not contract for this. Family Fun & Games – Cathy Ballot reported she has purchased items already. Honor Our Veterans – Myrna Kauth said she would like to focus on a special recognition of WWII vets. Phil Cohen said we should budget for this. Sue LaCrosse said she is recommending we eliminate 1 some of the activities which would free up some money. Kid’s Fishing Contest – Sue LaCrosse said this is a good event. BrookPark Dental indicated they would sponsor and the police want to come back. Magic Show – Sue LaCrosse recommends we drop the magic show. We get a good turnout, but not enough to justify the cost. Music/Fireworks – Sue LaCrosse reported she has already booked Midnight Breeze with Dale Greenwald. The committee asked her to book a $5,000 fireworks show. We can always increase it. Parade – Mike Meyer reported he talked to Todd and they may propose changing the policy for units that are handing out stuff. This may be hard to monitor. Phil Cohen said there were a lot of problems with people on the block of the staging area. They were running up to the units begging for candy and rd stuff. Sue LaCrosse said it continued at the point where units turned the corner on 63 Avenue. They ran up to the vehicles. Mike Meyer will look at how this could be monitored better. Petting Zoo – Sue LaCrosse suggested running the petting zoo from 4-7 because we are eliminating face painting, the characters and the magic show. If the Craft & Business Expo is going to be open until 5:00, we need something else to attract people to stay. Cathy Ballot will contact them to see if we can change the time. If not, she will book them for the same time as last year. Publicity – No report. Senior Golf Tournament – Sue LaCrosse asked it be open up to all ages. Mike Meyer will check. NEW BUSINESS Joy Reinhart distributed a proposal for sponsorship levels that was developed by Brent Haugen. Phil Cohen suggested we add a City proclamation for one or more of the sponsorship levels. He said the proclamation the City did for Luther was really well received. Sue LaCrosse suggested we offer them a spot in the parade at no charge. The committee decided to hold a special meeting on October 18 to focus on developing the sponsorship levels. Phil Cohen suggested sending a memo to the Mayor inviting him to the October meeting. Councilmember Dan Ryan said he would arrange for something to go on a work session agenda. He will wait until after our October 18 meeting. Sue LaCrosse said we cannot count on the Sun Post to do an insert for us. She and Joy Reinhart discussed asking the BCBA to partner with us. Joy Reinhart will contact the Star Tribune North editor. There was a motion by Karen Youngberg, seconded by Mike Meyer to approve payment of $54.86 to Cathy Ballot for prizes for 2012 Family Fun & Games. Motion carried. NEXT MEETING: Tuesday, September 20, 2011 at 4:30 p.m., Room 221 at Community Center. ADJOURN: There was a motion by Mike Meyer, seconded by Cathy Ballot to adjourn the meeting.
