HomeMy WebLinkAbout2002 01-31 SECM BROOKLYN CENTER SPECIAL EVENTS COMMITTEE THURSDAY, JANUARY 31, 4 PM BROOKLYN CENTER CITY HALL MEETING MINUTES Phil Cohen called the Brooklyn Center Special Events Committee meeting to order at 4:01 p.m. ATTENDANCE Baylon F. Loosbrock, Rotary; Tony Kuefler, Time Capsule; Kay Lasman, Councilmember; Ed Nelson, Councilmember; Pastor Bruce Hobbs, Thanksgiving Service; Sue Low, Brooklyn Community Chamber; Sue LaCrosse, Earle Brown Days; Phil Cohen, Chairman. FINANCIAL REPORT Phil Cohen reported a balance of $2,775.38. There was a motion by Pastor Hobbs, seconded by Councilmember Ed Nelson to approve the financial report. BANQUET REPORT Councilmember Kay Lasman said four students from Park Center would be coming. She said one gallon of punch will be enough for them and the boy scouts. The Heritage Center would like a final count 3 or 4 days before the event. Sue LaCrosse asked what she should do if people just call in with their reservations without payment. There was a motion by Pastor Hobbs, seconded by Sue Low to accept them but to take the name, address, phone number and let them know they will receive a bill if they don’t come. Motion carried. Kay said there is a commitment of $6,000 for the room, which the City will subsidize up to $4,000. We need a minimum of $2,000 in food and beverage sales. We will need to add 10-11 dinner reservations for the Twin Cities Bronze. Budget Amendment – Phil Cohen reported that originally we budgeted $250 for about 10 awards. It now looks like it will be 11-14 awards. There was a motion by Baylon Loosbrock, seconded by Pastor Hobbs to increase the budget for the awards from $250 to $450. Motion carried. BIRTHDAY PARTY CELEBRATION: Promotional – Phil Cohen said the balloons and helium will be supplied by Brookdale. Sue LaCrosse asked how they wanted the programs printed. There was a motion by Pastor Hobbs, seconded by Sue Low to print the programs with the stars on the cover. Motion carried. Awards – Sue LaCrosse said she has gotten a couple requests for people wanting to come to the awards portion of the evening. It was decided that once dinner is served, they could come in. Councilmember Kay Lasman said she would arrange a waiting area outside the room and arrange for some chairs in the room. Tony Kuefler asked Sue LaCrosse if she would pick up two things to be given out at the Birthday dinner to possibly the oldest and youngest person. NEXT MEETING Thursday, February 7, 4:00 p.m. Brooklyn Center City Hall, Conference Room on lower level.
