Meeting Minutes
July 11, 1994
PRESENT: Kragness, Roen, Dorff, Graham, Bergeland, Cohen and LaCrosse.
The meeting was called to order at 7:47 a.m.
LaCrosse passed out current budget sheets to show committee chairs where they are
financially.
APPROVAL OF MINUTES: There was a motion by Dorff, seconded by Roen to
approve the minutes of June 21, 1994. Motion carried.
AMBASSADORS: Cohen suggested the Ambassadors committee be changed to
finance/budget committee. There was a motion by Bergeland, seconded by Roen to
change the name. Motion carried. LaCrosse asked if a business indicates their money
be used for the sponsorship of an event or events, should that amount be indicated under
• ambassadors or the event itself on the financial spreadsheet. Cohen said it should be
listed under the event.
ARTS & CRAFTS FAIR: Bergeland said they had 2 no show crafters. The
crepe food vendor was pleased with sales, Baker's Square was not. Attendance wise, it
was not a good show. Only about 500 people registered for the door prizes. Most of the
people who attended did buy. Exhibitor evaluations suggested they would like to see
more signs, go to a one day show, stay open until 8 p.m. on Friday, and have a juried
show.
Tom Slupske arrived at 7:54 a.m.
Bergeland said the fee is too low to have a juried show. The crafters also suggested
advertising in the showtime and express sections of the Fridley Focus paper. Bergeland
would like to have policing when people are loading and unloading. She said there is a
need for more parking, perhaps off-site parking for exhibitors. There were consistent
comments on the evaluations that volunteers were helpful and the show was well
organized. Some would like to see the food vendors mixed in with the crafters.
Bergeland said the show could maybe run from noon - 8 p.m. on Friday.

BARN DANCE: Kragness said there wasn't the attendance this year.
Bergeland said her staff had heard comments from people that there were too many
little kids. Graham said the event was advertised as a family event, so maybe a separate
area could be provided for the children to dance. Bergeland said they could ring off an
area for kids. Some thought it started too early. It was suggested the line dance
instruction be held at 7:30 and the dance later. Brooklyn Park had the identical band
the week before and had billed it as an adult event. Kragness said they had trouble with
the bar closing early and some people left because of it. Bergeland said they should not
have done that.
BINGO: No report.
CAR SHOW: The attendance was down for this event. Roen said there were
other shows that day.
ICE CREAM SOCIAL: Graham said they ran out of ice cream.
JUNIOR ROYALTY: The 1994-95 junior royalty introduced themselves to the
board. Graham said they will make approximately 40 appearances throughout the year.
Graham introduced Gail Graiewski-Moore. Gail said she has been involved with the
program for about 5 years. She is proud of the junior royalty philosophy which is to
have fun. She is also proud to be from this community and a program like this helps to
promote the community. She said a great deal is shared with other communities because
of the ties with Aquatennial. She wanted to thank the committee for their support. •
Graham said the facility at the high school turned out fairly well. She said she has heard
about discussions taking place outside the board meetings about discontinuing the
sponsorship of junior royalty. She said she heard it from parents who have heard things
said about it both in the community and outside the community. She said this has hurt
because nothing had been brought up in a board meeting. She said it was understood
this is not a self supporting event, but in the past, outside fundraising was not something
committees were supposed to do. She said this year was a little more expensive because
of the permanent signs and coronation facility. Many of the families showing up at the
events are current and former families. She thinks we should look at not only how the
dollars are spent but how they are getting information out too. On a personal note, she
said she has spent numerous hours and appears at all events. She has invested time,
energy and financial resources. She contributes little things throughout the year that do
not make it to the budget. She thinks everyone should be included in discussions and
that success can't be measured only in terms of dollars. If EBD doesn't want to sponsor
it anymore, they will look at other resources.
Cohen said no official decision has been made. The Lions Club may have trouble
donating for the parade. The City also makes major contributions. If we lose any of the
big support, we're going to have to look at everything. Everything needs to be put on

the table. He said if it was taken out of context, it's unfortunate. Kragness said the
purpose of the audit will be to look at all the events.
CIRCUS: Tom Slupske made a presentation about the circus. He said
Brooklyn Center had the circus in 1986 and 1987. In 1987 they made $2,600 with 2
performances. The key is the pre-sales. At that time, general admission tickets were $7
for adults and $5 for children the day of the circus. The tickets were $6 & $4 for pre-
sales with EBD retaining 75% of the $4 tickets, and 50% of the $6 tickets. We get 10%
of the day ticket sales. Cohen said he remembers selling the tickets was very labor
intensive. Kragness asked what would be required of EBD. Slupske said there is a $500
fee needed up front. His first choice of a site is the land west of the Heritage Center.
Bergeland said the insurance company that owns it has been reluctant to commit to its
use because they are actively trying to sell. Cohen asked Slupske to nail down a site and
said we need to have someone agree to take a block of tickets. Slupske said we can sell
advertising for the back of the ticket and that income would be ours. Slupske suggested
a large corporate sponsor like North Memorial or one of the TV stations. An
organization may want to take it on as a fund raiser.

LaCrosse said the City of Brooklyn Center bills could be paid after we receive the Lions
Club contribution. She said this should be in about 3 weeks.
There was a motion by Cohen, seconded by Bergeland to pay bills. Motion carried.
PICNIC/GAMES: Dorff said he had 28 businesses contribute $1,200 in gift certificates
and prizes. The had 129 adults and 168 children who registered. He said 10 Rotarians
signed up to work, 6 showed up. He suggested dividing the community up and different
committee members could be assigned to contact the various businesses. LaCrosse said
she suggests when the committee members contact businesses for donations, that they
also ask if the business would be willing to display a poster or flyers.

PARADE: LaCrosse said there was a problem with a few political units distributing
literature and stickers. She said Arnie Mavis has suggested we send out a contract to
units next year outlining our rules and requiring a signature of the their contact person.
The committee thought it was a good idea but want to call it an agreement. Cohen
asked Kragness to draft a letter to this year's parade units telling them about the change
for next year.
NEXT MEETING: The next meeting is scheduled for Tuesday, August 9 at 7:30 a.m. in
Conference Room A.
