Meeting Minutes
May 24, 1994
PRESENT: Roen, Kragness, Bergeland, Buse, Graham, Neilson, Cohen and LaCrosse.
The meeting was called to order at 7:44 a.m.
APPROVAL OF MINUTES: There was a motion by Neilson, seconded by Graham
to approve the minutes of May 10, 1994. Motion carried.
AMBASSADORS: Cohen said, with the Rotary donation just turned in, there
has been $3,810 sent in for donations. He asked if we were looking at a need of $6,000
in order to keep our balance. LaCrosse said yes.
ARTS & CRAFTS FAIR: Bergeland reported there are five crafters over budget.
There are 70 crafters and 5 food vendors. She could take up to 128. She has 10 more
• than last year. Kragness suggested distributing flyers to office buildings. Bergeland said
she had thought of that also and would like to distribute to the high rise. Holcomb is
still trying to get free entertainment. Neilson may be able to get some strolling music at
a low cost. Bergeland said she will need to get out the mailing of confirmations soon.
BARN DANCE: Kragness reported the chamber will provide 10 volunteers, 3
will judge the line dance contest. She said the Silver Slippers will do a demonstration.
BINGO: No report.
CAR SHOW: No report.
ICE CREAM SOCIAL: Buse asked for insurance for those performing at the Ice
Cream Social. LaCrosse asked if they could sign a hold harmless agreement instead.
Buse said she thought so, but would check for sure. Cohen will look at his schedule to
see if he can emcee. Graham asked if she could have 26 reserved seats for the junior
royalty. Following the junior royalty introductions at the opening ceremony, she would
also like a room to use for the final judging.
JUNIOR ROYALTY: Graham said the orientation was held last weekend and there
are 20 candidates. A fundraiser will be held this week at Burger King. The schedule of
. events for the candidates is set. They will be bowling, have a tour of Radio Aahs, and

will appear at EBD events. She asked Neilson if the past J unior royalty could help P ass
out trophies at the talent contest. Neilson said yes. .
FISHING CONTEST: No report.
PARADE: LaCrosse said the parade route would stay the same.
Cummings arrived at 8:01 a.m.
Kragness passed out and reviewed the revised purchasing procedures. Kragness asked if
a letter of recognition could be given to committee members who are authorized to
purchase. This way when they went in to charge something, the company would know
they are authorized to purchase. Cummings said that would be a good idea. Cohen said
the revised procedures are good business practice and shows good fiscal responsibility.
Cummings asked if there could be a better way to indicate deposits. For example, she
said it should be indicated how many admissions at each price. It is hard to audit if we
don't have a breakdown. Graham asked if it should be indicated separately how many
buttons were sold and how many admissions were sold at the coronation. Cummings
said yes because it is easier to audit. For example, today's deposits to the junior royalty
program will be 14 contestants at $10 each for application fee. Kragness said in order to
go outside the budget, the chairperson must ask the board. For example, the teen bop
dance was added after the board approved it. Kragness reminded the board to get .
receipts for everything so that everything matches.
LaCrosse will add a section on how to submit deposits on the purchasing procedures.
There was a motion by Cohen, seconded by Bergeland to approve the revised procedures
for purchasing with LaCrosse making additions for correct deposit procedures. Motion
carried. LaCrosse will also develop a memo form that should be included when turning
in deposits.

There was a motion by Cummings, seconded by Neilson to approve payment of these
bills. Motion carried.
TENNIS TOURNAMENT: No report

TALENT CONTEST: There are 20 applications. Neilson will distribute flyers at
• music stores and hopefully at Brookdale.
TEEN BOP DANCE: LaCrosse said she could have the flyer done. She asked
when the details would be available. She said she needs information soon for the
tabloids. Kragness said she will contact Ditty about the Teen Bop Dance.
NEW BUSINESS: Cummings said she periodically gets tax statements and wants
to know if we have to file. We earned $199.96 in interest last year. LaCrosse said she
will check with Charlie Hansen, finance director. Kragness will also check with
someone.
Swanson arrived at 8:30 a.m.
Swanson said some employees would buy t-shirts. The City may go to casual day once a
week. They would not buy a t-shirt just to wear one day. Kragness said we should order
100 shirts. There was a motion by Bergeland, seconded by Neilson to order 100 shirts.
Motion carried. The ash colored shirt will be ordered with red shingles and black
printing. No year will be included. LaCrosse will order 10 medium, 40 large, 40 x-large
and 10 xx-large.
Bergeland would like to order name badges which would be used as the bathroom pass
. too. She asked if LaCrosse could have them done. LaCrosse said that Barbara had
helped the secretary do them for EBD a couple years ago. LaCrosse will check and
order badges through Trophies By Linda. She will order 100 for arts & crafts fair and 25
for the board of directors.
PUBLICITY: Copies of the proposed posters were passed around. LaCrosse said
there was nothing on the arts & crafts poster to indicate it was an EBD event. LaCrosse
said she will need committee help in distributing posters.
Swanson said there is a $35 fee for registering logo. The information is being sent to
her.
